How to Create a Production Set

This article provides both visual and written instructions for creating a production set work folder.

Responding to a Request for Production in Reveal entails the following actions:

  1. Collecting all reviewed documents relevant to the production request into a work folder.
  2. Within that folder, identifying and collecting all Privileged documents into a subfolder for listing in a privilege log.
  3. Removing all documents in the privilege subfolder from the production folder.
  4. Going to Production under Project Admin.

Creating a Production Folder

To create a new production, place the documents to be produced in Public or Private Work Folder(s) under the Folders in the Grid Sidebar screen. You will then reference the Work Folder(s) when you add a Production Job in the Production Management screen under Project Admin.

In the following scenario we are producing in response to a request regarding Investment Activity. This article will focus on collecting the documents to be produced into a work folder called Investment Activity with all privileged documents in this folder set aside for logging; in practice, these documents could also be collected in a new folder titled, for example, Prod01

Production work folders are often labeled with the production name or number; please apply your standards to naming the work folders for your productions.

  1. Open the Grid view for your project.
  2. I have expanded Work Folders under FOLDERS in the Sidebar and highlighted Investment Activity, which currently has 7 documents.
  3. Run concept or keyword searches to compile a list of candidates for the subject matter of this work folder and production.
  4. With each search result applicable to Investment Activity, open Update in the Grid Toolbar.
    1. For Act On accept the documents in the result set.
    2. In the Action to Take tab, select Include Folders. 17 - 02 - Tag Documents - Actions to Take - Folders-1 
      1. For Action, select Add.
      2. In the Folders listing, select Investment Activity. (All / Only Available toggles between listing all folders and only those to which you have access; the question is not relevant here since you have already been selecting documents into the Investment Activity work folder.)
      3. Click SUBMIT.
    3. The work folder will be updated with the current count including net documents added.

Creating a Subfolder for Privileged Documents

  1. Before going ahead with the production, click on the Investment Activity work folder to use it in a search for privileged documents.

    1. Open Advanced Search (the [...] button at the right of the Search Bar).
    2. You will see the Folder: Investment Activity pill in Advanced Search.
    3. Click +Add Condition.
    4. Expand Tags.
    5. Click Privileged.
    6. In the pop-up box for this tag, select the choice Privileged - Do Not Produce.
    7. Click Add to Search. The Advanced Search box will look like this: 53 - 05 - Work Folder Production Priv Check Search
    8. Click Search.
    9. If there are no results, the work folder content may be ready for creation of the Production job.
    10. If there are results, these operations are a suggested workflow:
      1. Create a sub-folder of Investment Activity called Privileged IA (again, these are only suggested work folder labels for the purpose of this illustration). To do so: 53 - 06 - Add Production subfolder
        1. Click on the options [...] menu at the right of the Investment Activity work folder.
        2. Click Add Folder.
        3. Enter the Title Privileged IA.
        4. Select any other users or teams involved in production.
        5. As you select other users or teams, select at the right of each whether their access should be ReadOnly (locked, the default) or Read-Write (unlocked).
        6. Click Save. The subfolder will appear beneath Investment Activity.
      2. Open Update in the Grid Toolbar.
        1. For Act On accept the documents in the still-current privilege result set.
        2. In the Action to Take tab, select Include Folders.
          1. For Action, select Add.
          2. In the Folders listing, select Privileged IA under Investment Activity
          3. Click SUBMIT.
          4. The privileged documents removed from the Investment Activity production folder will be added to the Privileged IA subfolder.
      3. Open Update in the Grid Toolbar.
        1. For Act On accept the documents in the result set.
        2. In the Action to Take tab, select Include Folders.
          1. For Action, select Remove.
          2. In the Folders listing, select Investment Activity
          3. Click SUBMIT.
          4. These privileged documents will be removed from the Investment Activity production folder.
  2. You are now ready to Create the Production Job under ADMIN > Production Management.
